Job Detail
- Serve as the first point of contact for clients, vendors, and team members with professionalism and excellent communication.
- Manage daily office operations to ensure efficiency and organization.
- Apply for permits, schedule inspections, and track project documentation.
- Coordinate with subcontractors and vendors, including collecting insurance and compliance documents.
- Assist with HR tasks such as onboarding, employee record management, and compliance tracking.
- Maintain schedules, calendars, and meeting coordination for the team.
- Handle incoming leads—follow up, schedule estimates, and update CRM systems as needed.
- Support accounting functions including bookkeeping, invoices, and expense tracking (QuickBooks experience preferred).
- Order materials and manage office supplies for ongoing projects.
- Maintain organized filing systems, digital records, and administrative documentation.
- Perform general front desk duties—answering calls, greeting visitors, and managing correspondence.
- Qualifications:
- Proven experience in office administration, construction administration, or project coordination.
- Strong customer service and communication skills—both writ10and verbal.
- Highly organized, detail-oriented, and able to prioritize multiple tasks effectively.
- Quick learner who follows direction and works well independently.
- Familiarity with construction workflows, permit applications, and scheduling inspections.
- Experience contacting and managing subcontractors and vendors.
- Proficient in QuickBooks, Microsoft Office Suite, and general office software.
- Knowledge of HR processes, including onboarding and record keeping.
- Reliable, professional, and committed to maintaining a positive and efficient office environment.
