Job Detail
  • Serve as the first point of contact for clients, vendors, and team members with professionalism and excellent communication.
  • Manage daily office operations to ensure efficiency and organization.
  • Apply for permits, schedule inspections, and track project documentation.
  • Coordinate with subcontractors and vendors, including collecting insurance and compliance documents.
  • Assist with HR tasks such as onboarding, employee record management, and compliance tracking.
  • Maintain schedules, calendars, and meeting coordination for the team.
  • Handle incoming leads—follow up, schedule estimates, and update CRM systems as needed.
  • Support accounting functions including bookkeeping, invoices, and expense tracking (QuickBooks experience preferred).
  • Order materials and manage office supplies for ongoing projects.
  • Maintain organized filing systems, digital records, and administrative documentation.
  • Perform general front desk duties—answering calls, greeting visitors, and managing correspondence.
  • Qualifications:
  • Proven experience in office administration, construction administration, or project coordination.
  • Strong customer service and communication skills—both writ10and verbal.
  • Highly organized, detail-oriented, and able to prioritize multiple tasks effectively.
  • Quick learner who follows direction and works well independently.
  • Familiarity with construction workflows, permit applications, and scheduling inspections.
  • Experience contacting and managing subcontractors and vendors.
  • Proficient in QuickBooks, Microsoft Office Suite, and general office software.
  • Knowledge of HR processes, including onboarding and record keeping.
  • Reliable, professional, and committed to maintaining a positive and efficient office environment.
